How to set up your email sending domain

Connect and verify the domain your marketing email sends from: DKIM, SPF, bounce MX, and DMARC records, then Verify.

Open Marketing → Email → Deliverability → Health. Workspace → Providers shows whether sending is active once the domain is ready. You need Email enabled and permission to manage DNS for your domain. On a fully managed organisation, your ProfilePilot or agency operator does this step once during onboarding.

Step 1 — Choose a subdomain. Use a dedicated subdomain such as news.yourcompany.com rather than your main domain. This keeps marketing reputation separate from your staff mailboxes, and your existing email (MX records on the main domain) is not affected.

Step 2 — Add the domain. Enter the subdomain and click Add domain. The console lists the exact DNS records to publish with your DNS provider.

Step 3 — Publish DKIM. Add the three CNAME records shown. They sign your mail so inboxes can confirm it came from you.

Step 4 — Publish the bounce MX and SPF. On mail.<your domain> (for example mail.news.yourcompany.com), add the MX record and the SPF TXT record shown. SPF does not inherit from your parent domain, so this TXT record is required even if your main domain already has SPF.

Step 5 — Publish DMARC. Add the DMARC TXT record shown on _dmarc.<your domain> (a monitoring policy, p=none, is fine to start). An existing DMARC record on your main domain also counts.

Step 6 — Verify. Click Check again on Health. DNS changes can take from a few minutes to several hours to appear. Health shows each record as verified or missing. Sending unlocks when SPF, DKIM, and DMARC all show verified.

Step 7 — Warm-up. A new domain starts on a daily send cap under Deliverability → Warm-up & ramp-up. The cap rises over time and cannot be bypassed.
